Planning the School Dance

Every high school dance comes down to some simple basics. Though there are many variables of fanciness, everyone still has some basic elements to their dance. Our following list contains the main aspects we share with our clients. Results are different but when we work with school sponsors we always discuss the following.
1.Results Desired: This area is rarely addressed. Simply put, if you spend the time to plan and execute this event what do you want for your efforts?
2.Budget: Are you breaking even or trying to raise funds? Your ticket price should reflect your goals.
3.Location: From the gym to the fancy resort there are many places that can host your event. What is your choice and what can your budget purchase?
4.Theme: At the end of the event decorations end up in the trash. So try to recycle and save money on some of the bells and whistles.
5.Music: Find a DJ that can relate to your students musical tastes, not yours.

7.Refreshments: In other words, food. These are high school kids so you better have plenty. Also have plenty of water available for when they are finished dancing.

As we have talked with many school sponsors it is astonishing how many don’t know how much pictures are actually costing their students. Many schools allow a particular company to come to their dance because they show up for “free” or for a minimal fee usually under $1000 but what they fail to realize is that it is costing your students more in the long run when compared to Firefly Event Photography’s innovative approach. This approach is dedicated to helping add value to student events while saving them a lot of money. Real Photography Value For High School Students

As a teacher/event sponsor that is responsible for adding REAL value to your student’s lives it is time for a company like Firefly Event Photography to help your students have access to REAL value.

ACCESS to IMAGE FILES:
With Firefly: Always INCLUDED: Unlimited access, sharing and downloading of high resolution image files.
Other Company: Each student will have to special order and pay more for this type of access.

EXTRA IMAGES:
With Firefly: Always INCLUDED: Additional candid images taken at your event. These images show personality and are available to everyone at your event. These are also available for unlimited downloading.
Other Company: None

SPEED of RETURN:
With Firefly: By 9am the next morning after the dance for unlimited digital access.
Other Company: Two weeks for prints

REAL COST:
With Firefly: Based on 400 attendees $26 per couple for unlimited posed images (this also includes the extra candids). Students average 5 images per person.
Other Company: $45 per couple for up to 2 poses, printed. NO Candids, Long Lines, Two weeks wait time.

EXTRA CHARGES:
With Firefly: None, unlimited access for a minimum 13 months and up to 20 years.
Other Company: Pay Once, Get print, get upsold for online access (up to $45 per image)

VALUE:
With Firefly: Your students will pay an upfront fee via their ticket price and never have to pay again for access to their images.
Other Company: They start out free or cheap but their goal is to continue to upsell your students without your knowing.

ADDITIONAL VALUE:
By using Firefly Event Photography for the three major events at a high school (Homecoming, Prom and Graduation) your Seniors will only pay $75 extra ($10 at homecoming, $15 at prom and $50 at graduation) for UNLIMITED images (at all events) and three years of INCLUDED UNLIMITED ACCESS AND DOWNLOADING. This also includes unlimited candid images.

Now compare this to a student that went to all the events their entire high school career.

4 Homecomings – $40
2 Proms – $30
1 Graduation – $50
Total Extra cost for 4 years of images $120

When you use other companies graduation images alone will cost $95 extra for a basic package and no candids included.

Elements of the School Dance: The Food

“When in doubt, give ‘em Publix chocolate chip cookies!”

Light snacks, heavy food, beverages and a chocolate fountain, I have seen them all. My favorite? Pinwheels, man those are good. Homecoming dances usually draw a hungrier crowd than prom due to the meaning of the night. I know that kids won’t eat cookies all night something heavier may be needed. The food tends to round out the event. If you have worked a dance before you know kids will mow down some food. It’s always the smallest freshmen that are about to hit that growth spurt at the table packing it away. Mix it up, have plenty but don’t waste. Also having plenty of water is a must. Once that deejay gets crankin’ and those kids get to sweating you will need the hydration just from a safety perspective.

Q: Is this an event where you need to go heavy or light with the food?

Q: Did you tell your purchasers what type of food will be there? You should so they know what to expect.

“Music has the power to bring people together. You want even more togetherness? Play Cupid Shuffle”

A deejay has the hardest job. It isn’t easy pleasing a crowd of kids. Yet, the best do it with an ease that is amazing. Find that person and respect their developed talent. Always hire a talented deejay. Anyone can play music and crossfade but a deejay worth good cash is an artist that your students will enjoy. Their portfolio of mixes should be available for you to hear. They should have recent samples also. There is nothing worse than a deejay that stops practicing because of too much work. Even professional athletes need an off season. Find the person that will be the centerpiece to your event and isn’t afraid to “rock the crowd.”

Elements of the School Dance: The Venue

“Beautiful locations are always a wonderful thing, but locations create lasting memories are even better”

Venues can eat up most of your budget so choose wisely. It may be better to enjoy a less expensive place that serves all of your needs than a more expensive place where you needs are met but you have to give up the extra gifts that can go to your ticket buyers. Think safety, fun, and cost. I have witnessed schools that can turn a gym into a wonderland for ¼ of the cost of a hotel or resort. Use some of the extra money on some lasting memento and the other to improve the school.
